What it is.

The AI Chief of Staff is a person, not a programme. They know AI at the cutting edge of what it can currently do, and they spend the time to learn how your business actually runs: the departments, the reporting lines, the systems everything sits on, the SOPs people follow and the ones they quietly work around.

Visits are weekly or monthly, on site, for as long as the business wants them. Each visit the chief of staff agrees with you which problem comes next, gets AI onto it safely, and works it with the people who do that job until it is solved.

Every visit ends with a material output. The objective is productivity and revenue, measured.

Behind every chief of staff is the whole team: Gary on the business and the people, Ben on the technology.

How it runs.

Six parts, repeated on every visit for as long as you want them.

  1. 01

    Learning the business

Before anything is changed, the chief of staff walks the business department by department. What each team is responsible for, which systems they work in, which SOPs govern the work, where the handoffs are. This is written down and kept current.

  2. 02

Weekly or monthly, on the ground

You choose the rhythm at the start. The chief of staff is in the business on that cycle, sitting with management and with the staff doing the work. Not only the top. The people who run the process are the people who change it.

  3. 03

    Agreeing what comes next

Each visit opens by picking the problem to take on, and closes by agreeing the one after it. Nothing goes on the list without the name of the person whose work it is.

  4. 04

    Getting AI onto it, safely

The work happens in the tools already in place: Copilot, ChatGPT, Claude, Google Workspace, your CRM, your finance system. The chief of staff works the problem beside the person who owns it, decides what AI should and should not be trusted with, and sets the limits in writing before anything runs on real data.

  5. 05

    A material output every visit

A process that runs the new way. A task the team no longer does by hand. Something finished, every time, not a note about next time.

  6. 06

    Measured, and reported

Productivity and revenue are the test. The chief of staff records where a process stood before and where it stands after, in your numbers, and reports on the same cycle as the visits.

Why it works.

The tools are usually already licensed.

Two people in marketing are good at using them, and nothing spreads, because nobody in the building has the job of carrying it from that desk to the next one.

A consultant arrives, recommends, and leaves. Training happens once and fades by the spring. The chief of staff keeps coming back, which changes what is possible: a problem too big for one visit gets picked up on the next one, and the people learning it have somebody to ask in the meantime.

Knowing AI is not enough on its own. Knowing your finance close, your quoting process and the three spreadsheets that hold the month together is what makes the AI useful, and it takes weeks in the building to learn.

What you get.

Monthly fee.

£2,000 to £5,000 a month

A monthly fee, agreed before work starts, based on the size of the business and whether we come weekly or monthly. It buys access, not hours: the visits, and someone to ask between them. Three-month minimum, because the first month is spent learning how the place works, then it runs for as long as you want it.

What is not included

A full time hire. The chief of staff is in the business on an agreed cycle, and between visits the work belongs to your people. Advice on its own: there is no monthly report of recommendations for somebody else to act on.

Questions people ask.

How is this different from an AI Productivity Sprint?

A Sprint solves one agreed problem. The Chief of Staff is the long game: weekly or monthly, for as long as you want it, taking the next problem and then the one after that. Most businesses start with Two Days in Your Business or a Sprint, then keep a chief of staff to hold the gains.

Do we have to do Two Days in Your Business or a Sprint first?

Usually, and for a practical reason. Two days in your business or a Sprint puts the structured questions to your staff and gets the map of the business drawn, so the chief of staff starts from something rather than from scratch. Starting cold is possible. The first weeks are slower.

Weekly or monthly, which one?

Weekly suits a business with several departments changing at once, or one that wants pace. Monthly suits a smaller team, or a business that needs time between visits to embed what changed. You can start on one and move to the other.

What does it cost?

£2,000 to £5,000 a month, agreed before work starts, from the size of the business and whether we come weekly or monthly. Three month minimum, because the first month is spent learning how the place works.

Is this a full time hire?

No. The chief of staff is in the business on an agreed cycle, and between visits the work belongs to your people.

What does this commit us to?

Three months, then month by month for as long as it is useful. Anything we put in place is in your tools, run by your people, so stopping is a decision, not a project.
